Help centre · Heating forms and the service round

Fill in a gas or heating record

Fill in a service record or certificate on site, sign it, and it's filed and emailed.

Before anyone starts

Three things need doing once, by an admin:

  1. Tick your registrations

On Company settings, under Registrations and memberships, tick what your firm holds, with its expiry date. The forms that need a registration switch themselves on when it's ticked, for everybody.

  2. Choose who fills them in

On the People screen, tick Gas forms for each engineer who fills them in.

  3. Switch on filing and emailing

On App settings, turn Service records filed and emailed on. Until then, forms can be filled in and looked at, but nothing is filed or emailed.

On site

  1. Choose the form

Open Service records and forms and pick the one you're doing, such as a gas service, the landlord gas safety record (CP12), an oil service or a heat pump check.

  2. Choose the job and address

Pick the job by number or customer. The address goes on the record.

  3. Fill it in

Work through the form: the appliance, the checks, and readings such as the final analyser reading. Combustion readings are put in at low and high rate, and the ratio is worked out for you.

  4. If something isn't safe

Mark it not safe to use, and confirm the warning notice and label. Say what was done about any check marked no.

  5. Sign it

Sign the record, and get the customer's signature if anybody is in.

Once finished, the record is filed in your SharePoint and emailed to the office, and to the customer where the form says so.

No signal?

Carry on. The record is kept on your phone and goes when you're back in signal.

Correcting a record

Open the record, change what was wrong, say what you changed and why, and sign the correction.
