SiteCabin Terms of Service
Draft of 12 October 2026
Draft for information. These are not yet in force. The final version will be published here before SiteCabin launches, and may change before then.
Questions to admin@sitecabinapp.co.uk.
1. About these terms
1.1 Who we are. SiteCabin is provided by Brightyard Ltd, registered in England and Wales (number 17511364) (we, us). Contact: support@sitecabinapp.co.uk.
1.2 Who you are. "You" means the business that signs up to SiteCabin. SiteCabin is for businesses only, including sole traders and partnerships acting for their trade. It is not offered to consumers. The person who signs up confirms they are authorised to accept these terms for the business.
1.3 What you agree to. These terms, our data processing agreement and the acceptable use rules in clause 6 form the contract between you and us. You accept them by ticking the box when you sign up. We keep a record of the version you accepted and when. Our privacy notice explains how we use the personal data of the person who runs your account.
1.4 SiteCabin means our office app for trade and building firms, at app.sitecabinapp.co.uk and in our phone apps, and everything in it.
2. Your account and your people
2.1 Signing in. Everyone signs in with a Microsoft 365 work account from your organisation. We do not handle passwords. You are responsible for your Microsoft accounts, including removing people who leave.
2.2 Admins. The person who signs up becomes your first admin. Admins can add people, give them roles (admin, office or operative), change settings and manage billing. You are responsible for who you make an admin.
2.3 Your people. You are responsible for everything done in SiteCabin by people you let in, as if you had done it yourself, and for making sure they follow clause 6.
2.4 Keep it secure. Tell us straight away at support@sitecabinapp.co.uk if you think someone has got into your SiteCabin who should not have.
3. Free month, prices and paying
3.1 Free month. New firms get their first month free, unless the offer shown when you sign up says otherwise (for example half price). You add a card when you sign up, but nothing is taken during the free month. If you cancel before it ends, you pay nothing. If no card is added, your account stops at the end of the free month.
3.2 Prices. Our current prices are:
| People using SiteCabin | Price a month |
|---|---|
| Up to 3 people | £75 in total |
| People 4 to 10 | £25 each |
| People 11 to 25 | £20 each |
| People 26 and over | £15 each |
Prices exclude VAT, which we add where we are registered for it. There is no set-up fee and no fixed term.
3.3 Who counts. A person counts from the first time they sign in. People you add who have not signed in yet are not charged.
3.4 Monthly billing. We bill monthly in advance by card through our payment provider, Stripe, starting one calendar month after you sign up. Each bill covers the people with you at the start of that month.
3.5 People who join part way through a month. If someone joins after the month has started, your next bill includes a charge for the days left in that month, worked out from what one more person adds to your price (nothing, if you are still within your first three people). If one person leaves and another joins in the same month, both are charged for that month.
3.6 People who leave. Someone who leaves has been paid for to the end of that month and comes off your next bill. We do not refund part months.
3.7 If a payment fails. We will ask you to update your card. Until the bill is paid, your firm cannot use SiteCabin except to pay. Your records are kept safe in the meantime.
3.8 Price changes. We may change our prices by giving your admins at least 30 days' notice by email. If you do not want to pay the new price, you can cancel before it starts.
3.9 Invoices. VAT invoices and receipts are available from the Billing card in App settings.
4. Offers and referrals
4.1 Founders' discount. Firms given a founders' code get £25 off every month, so they pay £50 instead of £75 for their first 3 people (extra people at the normal rates), for 12 months from their first payment. We will email your admins a month before it ends, after which the discount stops and the standard price applies.
4.2 Recommend SiteCabin. If a firm signs up with your referral link and goes on to pay for six months, both your firms get up to £100 off your next bill (the whole bill if it is less). You can earn at most 12 of these rewards. A firm can only be referred once, by the first link it used. Rewards have no cash value.
4.3 Partner welcome. Firms introduced by one of our partners get their first month free and up to £100 off their second month.
4.4 Fair use of offers. Offers are for genuine new firms. We may withhold or take back a reward obtained by referring yourself, a related business or a made-up firm, or by misleading anyone. We may change or end any offer for the future, but we will honour rewards already earned.
5. Microsoft 365 and your data
5.1 You need Microsoft 365. SiteCabin works with your organisation's Microsoft 365. You are responsible for having and paying for it. If Microsoft is unavailable, parts of SiteCabin will be too.
5.2 Your SharePoint area. During setup, SiteCabin makes one SharePoint site in your Microsoft 365 and is given access to that site only. Files SiteCabin makes for you (timesheets, certificates, documents and workbooks) are stored there. They are yours and stay there if you leave. Your admin can see or withdraw SiteCabin's permissions in your Microsoft admin centre.
5.3 Your data. You own the information you and your people put into SiteCabin (your data). You give us the right to use it only to provide SiteCabin to you. We handle personal data in your data as your processor, under our data processing agreement, which forms part of these terms. We keep SiteCabin's database in London. We do not sell your data and do not put it into AI tools.
5.4 Getting your data out. Your admins can export your records from SiteCabin at any time while your account is open, including after you cancel and before it is deleted (clause 9).
5.5 Backups. We back up SiteCabin's database and test that we can restore it. You should still keep your own copies of anything critical, which is easy because your files are already in your SharePoint.
6. Using SiteCabin properly
6.1 You and your people must not:
- use SiteCabin for anything unlawful, or to store or share content that is illegal, harmful, threatening, discriminatory or infringes someone else's rights;
- try to get into another firm's data, or any part of SiteCabin you are not meant to;
- copy, reverse engineer or resell SiteCabin, or build a competing product from it;
- introduce viruses or harmful code, overload SiteCabin, or test its security without our written permission;
- share sign-ins, or let anyone outside your business use your account.
6.2 Illegal content. If you see content in SiteCabin you think is illegal, report it to support@sitecabinapp.co.uk. We will look into it promptly and may remove content or suspend access where we reasonably believe it is illegal or breaks this clause.
7. What SiteCabin is, and what it isn't
7.1 SiteCabin is a tool to help you run your office. You stay responsible for your business decisions and legal duties, including:
- the content and accuracy of gas safety records and any other certificates or forms; these must be completed by a competent, properly registered person, and SiteCabin does not check their technical content;
- employment matters such as pay, holiday entitlement, working time and right-to-work checks;
- health and safety, including risk assessments and method statements;
- your own customers, quotes and contracts.
7.2 Templates, defaults and calculations in SiteCabin are there to help. Check that they suit your business. SiteCabin does not give legal, HR, tax, health and safety or technical advice.
8. The service, support and changes
8.1 Care and skill. We will provide SiteCabin with reasonable care and skill. We aim to keep it available at all times, but we do not promise it will never be interrupted or free of errors. We will try to do planned maintenance outside UK working hours and give notice of anything long.
8.2 Support. Email support@sitecabinapp.co.uk. We answer during UK working hours, Monday to Friday, and aim to reply within one working day.
8.3 Improvements. We improve SiteCabin all the time and may change how it looks and works. We will not remove a main feature you rely on without giving your admins at least 30 days' notice; if that matters to you, you can cancel.
8.4 Phone apps. Our phone apps are for signing in and using SiteCabin. The app store's own terms also apply to downloading them. You cannot sign up or pay inside a phone app.
9. Cancelling and closing your account
9.1 No fixed term. You can cancel at any time from the Billing card in App settings.
9.2 What happens when you cancel. You keep full use until the end of the month you have paid for. Nothing more is taken. After that your firm can still sign in and see and export its records, but cannot change anything (read-only). You can start again at any time.
9.3 Closing for good. An admin can ask us to close your account for good. You keep full use to the end of the month you have paid for, then read-only access, and 30 days after that we delete your data from SiteCabin. We email your admins when you ask, a week before deletion and on the day. You can change your mind until then. Your files in your SharePoint area are not touched.
9.4 Accounts left read-only. If you cancel and do not start again, your account stays read-only so you can come back to it. Once it has been read-only for 12 months, we may close it for good under clause 9.3 (deleted 30 days later), after emailing your admins at least 30 days before.
9.5 What we keep. After deletion we keep only your firm's name, invoices and payment records, for as long as the law requires.
10. Suspension, and ending by us
10.1 Suspension. We may suspend access, for as short a time as reasonably possible, if a bill is unpaid (clause 3.7), if we reasonably believe there is a security risk, or if you or your people seriously breach clause 6. We will tell your admins why, unless the law or a security risk prevents it.
10.2 Ending by us with notice. We may end your contract by giving your admins at least 90 days' notice, for example if we stop providing SiteCabin. We will refund anything paid for the period after it ends, and give you time to export your data.
10.3 Ending straight away. We may end your contract immediately by notice if you seriously breach these terms and do not put it right within 14 days of being asked, if a bill is unpaid for more than 30 days, or if you become insolvent or stop trading. Clause 9.3 then applies to your data.
11. Ownership and confidentiality
11.1 SiteCabin is ours. We (or our licensors) own SiteCabin, its software, design, name and logo. You get the right to use it for your business while your contract lasts. Nothing in these terms transfers ownership to you.
11.2 Your data is yours. See clause 5.3.
11.3 Suggestions. If you suggest improvements, we may use them freely, without paying you.
11.4 Confidentiality. Each of us will keep the other's non-public business information confidential, and use it only for this contract, except where the law requires disclosure.
12. Liability
12.1 What we never limit. Nothing in these terms limits or excludes liability for death or personal injury caused by negligence, for fraud or fraudulent misrepresentation, or for anything else the law does not allow to be limited.
12.2 Losses we are not responsible for. We are not liable for loss of profit, revenue, business, contracts, goodwill or anticipated savings, or for any indirect or consequential loss, however caused. We are not liable for problems caused by Microsoft 365 or other services we do not control, by your own systems, or by information you or your people put in.
12.3 Lost or damaged data. If your data in SiteCabin is lost or damaged through our fault, our responsibility is to restore it from our latest backup as quickly as we reasonably can.
12.4 Our total limit. Our total liability to you under or in connection with this contract, in any 12-month period, is limited to the amount you paid us in the 12 months before the event that caused the claim.
12.5 Your liability. You are responsible for paying for SiteCabin, and for losses we suffer because you or your people break clause 6 or use SiteCabin unlawfully.
13. Changes to these terms, and general
13.1 Changes. We may change these terms by giving your admins at least 30 days' notice by email and showing the new version in SiteCabin. If you do not agree, you can cancel before the change starts. Changes needed by law or for security may start sooner.
13.2 Notices. We send notices by email to your admins. You send notices to support@sitecabinapp.co.uk.
13.3 Events outside our control. We are not responsible for delays or failures caused by events outside our reasonable control, such as a failure of Microsoft, the internet, our hosting providers, or extreme weather.
13.4 Transfer. You may not transfer this contract without our consent. We may transfer it to a business that takes over SiteCabin, and will tell you.
13.5 Whole agreement. These terms, the data processing agreement and anything they refer to are the whole agreement between us about SiteCabin. If a court finds any part invalid, the rest still applies. Only you and we can enforce this contract. If we do not enforce a right straight away, we can still enforce it later.
13.6 Complaints. If you are unhappy, email support@sitecabinapp.co.uk and we will try to put it right.
13.7 Law. These terms are governed by the law of England and Wales, and the courts of England and Wales have exclusive jurisdiction.
